1. Introduction & Scope

Busy Family.ai (“we,” “us,” or “our”) provides calendaring and family-coordination services, including Google Calendar and Gmail integration, AI-assisted summaries and logistics signals, and SMS alerts. This Privacy Policy explains how we collect, use, disclose, and retain personal information when you:

  • Use our website or mobile app
  • Connect or share calendars via Google Calendar
  • Connect a Gmail account so we can surface family logistics from email (reminders, action items, and event candidates)
  • Receive bi-weekly newsletters (“Week Ahead” and “Weekend Outlook”)
  • Opt in to SMS notifications

This Policy applies to all users and all personal data collected in the course of delivering these features.

2. Information We Collect

2.1 Account & Profile Data

Name, email address, and profile picture you upload.

Session ID cookie during onboarding to store your unique user ID.

2.2 Calendar Metadata

Event titles, start/end times, and your public/private flags. Only events you mark “public” are shared with others.

Calendar IDs and names you select to share or include in newsletters.

2.3 Gmail Data

When you connect Gmail, we access mailbox change notifications and message content needed to provide the feature, which may include:

  • Message metadata (sender, subject, labels, timestamps, thread and message IDs)
  • Message body text (or a truncated preview) used to evaluate your family’s email rules and extract logistics signals
  • OAuth tokens required to maintain access and renew Gmail mailbox watches

We treat email as a signal source for family logistics—not as a full inbox replica. We extract and store structured reminders, tasks, and event candidates when they match your configured rules; we do not use Gmail data to train foundational or generalized AI models.

2.4 Usage & Technical Data

Anonymous usage analytics (pages viewed, clicks, device type, IP address) for performance and product improvement.

Cookies & Tracking:

  • Essential Cookies: Session cookie maintained during onboarding.
  • Analytics Cookies: Third-party analytics (e.g., Google Analytics) for anonymized metrics.

3. How We Use Your Information

  • Service Operations: Connect to Google Calendar, display availability, RSVP, and send invites.
  • Gmail Logistics Signals: Evaluate connected Gmail messages against your family’s rules to surface reminders, action items, alerts, and proposed events.
  • AI-Assisted Features: Generate personalized “Week Ahead” and “Weekend Outlook” summaries and extract structured logistics signals from relevant email content. AI processing is used for inference only (see Section 4.1).
  • SMS Notifications: Send text alerts via AWS, with opt-in and opt-out compliance.
  • Customer Support: Respond to requests for data access or portability at support@busyfamily.ai.
  • Legal & Safety: Fraud detection, Terms enforcement, and legal compliance.

4. Sharing & Disclosure

  • Service Providers: Google for Calendar and Gmail integration; Amazon Web Services (AWS) for compute, storage, SMS, email delivery, and AI inference via Amazon Bedrock.
  • User-Directed Sharing: Only calendars/events you mark public are shared.
  • Legal Requirements: Disclosures for subpoenas, court orders, or law enforcement.

4.1 Google Workspace Limited Use & AI

The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

In particular:

  • We do not use Google Workspace user data (including Gmail and Calendar data)—raw, aggregated, or derived—to create, train, or improve foundational or generalized machine learning or artificial intelligence models.
  • When AI features process Workspace-related content, that processing is performed as inference only through Amazon Bedrock in our AWS environment (for example, Anthropic Claude models for extraction/summarization and Amazon Titan for embeddings).
  • Under Amazon Bedrock’s data protection terms, customer inputs and outputs are not used by AWS or model providers to train foundation models and are not shared with model providers for that purpose.
  • We do not transfer Google Workspace user data to consumer AI products that use that data to train their models.

5. Access, Portability & Deletion

Email support@busyfamily.ai to request a copy of your personal data.

We retain data indefinitely—some anonymized—but will delete your data upon request under CCPA/CPRA guidelines.

6. Data Retention

  • Account, Calendar & Gmail-Derived Signal Data: Retained until deletion request.
  • Anonymized Logs: Purged after 12 months.
  • SMS Records: Stored per TCPA compliance requirements.

7. Security Measures

  • TLS encryption in transit and encryption at rest for sensitive data.
  • Role-based access controls and regular security audits.
  • Breach-response plan with user notification.

8. California Privacy Rights

California residents have the right to:

  • Know what personal data we collect and share.
  • Delete their personal data by emailing support@busyfamily.ai.
  • Opt out of any sale of personal data (we do not sell personal data).
  • Receive equal service if they exercise these rights.

9. Changes to This Policy

We may update this Privacy Policy at any time. The “Effective Date” will reflect the latest revision. Continued use after changes constitutes acceptance.
